An Agency Guide to Single-Source Fabrication: Drawings, Load-In Sequencing, Crews, and Multi-Market Tours

Agencies don't lose money on the build. They lose it in the handoffs — creative to fabricator, fabricator to freight, freight to local labor, local labor to on-site AV. Every seam is a place where the rendering degrades and the budget leaks.

Here's what a single-source design, fabrication, and install partner should actually deliver to an agency team, and what to ask for before you sign.

1. Real Drawings, Not Renderings

A rendering sells the concept. A drawing set builds it. Ask for plan, elevation, and section views, a rigging plot, a power one-line, and a materials schedule. If your fabricator can't produce those, your GC or the venue engineer will produce them for you — late, and at your expense.

Event design and event fabrication should sit under one roof so a creative change doesn't trigger a three-vendor renegotiation.

2. Engineered for the Road, Not Just the Render

If the build travels, it has to be engineered for travel from day one: modular panel sizes, road-case dimensions, hardware that survives repeated install cycles, and touch-up finishes your local crew can execute. Scenic set walls built as tour-ready modules cost more on market one and dramatically less on markets two through six.

3. Load-In Sequencing Built Backwards From Doors

We build every schedule backwards from doors: strike plan, program, rehearsal, focus, rigging, power, scenic, then freight arrival. When the sequence is built forwards from truck arrival, the overtime lands on the client.

4. Union-Compatible Crews

Convention centers and major hotels have jurisdiction rules that dictate who touches what. A partner who has worked those rooms already knows which tasks the house crew owns and staffs accordingly — that's a line-item difference, not a philosophical one.

5. Technology Integrated Into the Set

Flush-mounted displays, LED walls, and integrated lighting should be designed into the scenic frame, not added after. Retrofitting a display into a finished wall is the most common avoidable cost on an activation build.

6. One Account, Every Format

Agency programs rarely stay in one format. Brand activation build-outs, trade show booths, expo floors, and tent structures for outdoor programs all run through the same shop and the same project lead. The full catalog is what one contract can cover.

7. Coverage That Matches Your Client's Footprint

We fabricate in Torrington, CT and install across the East Coast and Caribbean. Common agency markets: New York City, Boston, Washington DC, Atlanta, Miami, and Nashville. The service areas map covers the rest.

What We Need to Bid

Creative intent (deck or renderings), dimensions or a floor plan, market list with dates, and any venue documents you already have. We'll come back with drawings, a build approach, and a freight and labor plan — not just a number.
