Scoping a Corporate General Session: What the Production Partner Owns vs. What the Venue Owns

Corporate event teams rarely get burned on creative. They get burned on the seams — the gap between what the hotel's in-house AV covers, what the venue's engineering department controls, and what a production partner is actually contracted to deliver.

This is how we scope a general session, sales kickoff, or user conference so nothing falls in the gap.

Start With the Room, Not the Deck

Before content, settle four physical questions: ceiling height and rigging capacity, available power, load-in path, and room dark time. Every production decision downstream is constrained by those four numbers.

The Scenic Envelope

Scenic set walls are what separate a general session from a meeting. Hard walls built in our Torrington, CT shop — modular 8', 10', and 12' systems with branded skins — give you an architectural stage look that pipe-and-drape can't reach, and they're engineered for road cases so the same set travels to your next market.

Design and engineering live with event design; the physical build lives with event fabrication.

Video and Content Delivery

LED video walls at P2.6 or P3.9 integrate directly into the scenic frame so the screen reads as part of the set instead of a rental parked in front of it. Content resolution, blend lines, and confidence monitors get specified at the same time as the wall — not after the deck is built.

Full corporate AV covers audio, switching, comms, playback, and camera package.

Rigging and Power — the Two Venue Negotiations

Rigging is where the venue almost always has a say: exclusive rigging vendors, point limits, and engineer sign-off are standard in convention centers and major hotels. Get the rigging plot to the venue early; it is the most common cause of a schedule slip.

Power distribution is the second. House power is usually adequate for lighting and audio, and usually not adequate for a full LED wall plus scenic lighting plus catering. Isolated audio power keeps your program clean.

Trade Floors and Multi-Market Programs

If the general session is one stop on a broader program, expo services, trade show builds, and brand activation all run off the same fabricated asset set — build once, tour it, and your per-event cost drops each market.

The full capability catalog lists everything available under one contract.

Where We Work

The Handoff Document

Before we quote, we want: date, venue, room name, expected attendance, session format, and your rigging and power allowances if the venue has published them. If you don't have them, we'll ask the venue directly.
