Venue & Planner Paperwork Kit

Many venues approve only one or two outside lighting, draping or decor companies. The reason is rarely talent — it is paperwork and risk. This kit gives venue managers, wedding planners and corporate event teams every document they need to say yes to Ramar Event Productions, a veteran-owned production company working from our 25,000 sq. ft. Production & Fabrication Facility — Torrington, Connecticut.

Certificates of Insurance

We issue a Certificate of Insurance naming your venue, management company or client as additional insured, usually within one business day of request. It covers general liability, auto and workers’ compensation for every crew member on site. Send us your venue’s exact wording and limits and we match it before load-in, so your operations team never has to chase paperwork the week of the event.

NFPA 701 Flame Certificates

Every drape, ceiling treatment, scrim and fabric we hang is inherently flame-retardant or treated to NFPA 701. We provide the manufacturer certificate for each fabric on your floor plan, ready for the fire marshal, the venue and the local permit office. Ballrooms, tents, barns and historic estates all receive the same documentation.

Rigging & Power Plans

Before load-in we send a drawn plan showing every rigging point, the weight on each point, truss and ceiling hardware, plus a power plan listing circuits, amperage and generator or house-power tie-ins. Your engineer reviews it in advance, not on the day. For tents and off-site venues we plan the power distribution from scratch and stage cables away from guest paths.

One Flat Travel Fee per Region

Travel is quoted as a single flat fee for your region — New England, New York and New Jersey, the Mid-Atlantic, the Southeast, Florida or the Caribbean. No per-mile surprises, no hidden hotel line items. The fee appears on the first quote, so planners can present a complete number to their clients from day one.

How to request the kit

Tell us the venue, event date and the names that must appear on the insurance certificate. We send the COI, flame certificates for the fabrics in your design, and a draft rigging and power plan once the layout is set. Venues joining our preferred-vendor program keep a standing copy on file for every future event.
